Move shared client AI work into Juma

For Nathan, Caleigh, and anyone helping the switch. Claude can still be the writer — we pick it inside Juma. Client brand and team recipes live in one shared place, not personal chats.

Nathan — your job this week
Say yes to Juma as the shared workspace.
Approve Pro (~$49/mo) + a $100–300 pilot envelope.
With Trevor: authorize DPA / no-training before more client IP.
Full checklist: Pricing steps tab.
Caleigh — your job this week
Own voice/tone for every client Project.
Assign each brand’s voice to the right teammate (Asana task is open).
Start with the five pilot clients below.
Trevor — your job this week
Stand up integrations; wire per client where needed.
Confirm / fix Asana so call→tasks Flows work.
Instruct Bruce / get him oriented on visual Brand Hub audits.
With Nathan: authorize DPA / no-training before more client IP.
Keep this brief updated and the checklist shared.
Bruce — visual
Audit colors, fonts, logos in Brand Hub per pilot.
Sign off before client-facing visual output.
Before anything goes to a client

Bruce checks look (colors/logos). Caleigh’s assigned voice owner checks tone. Account checks facts when claims are involved. Until then: internal only.

Phase 3 — weeks 2–4 (prove it)

NathanPut Pro Starter on the company card — $49/mo, 5,000 credits, unlimited seats
NathanCap the pilot: $100–300/mo all-in for 60 days (Pro + top-ups if we burn the 5,000)
NathanInvite ~13 people — $0 per seat. Trevor is billing/admin; others just sign in

5,000 included credits is a few dozen Flow runs, not unlimited production. Top-up packs last 12 months. Unused included credits can carry one month (juma.ai/credits). Admins can cap spend per person.

What we are not buying

Not 13 Claude.ai licenses. Claude stays the writer inside Juma when we pick that model. Adobe, Buffer, and Muck Rack stay their own apps. Enterprise (SSO, private cloud, invoicing) only if we outgrow Pro — not required for the 60-day pilot.

Four jobs you’ll actually run. Always: open the client Project first. Brand is already on. A human still hits send.

After a client call
Meeting ends. Fireflies has the transcript. Open that client’s Juma Project — not a personal chat. Juma pulls owners, dates, and commitments → Asana tasks + Slack recap + a follow-up email in draft. You confirm assignees and send.
Need a week of LinkedIn
Open the client Project. Run the LinkedIn pack. Voice is already on. The person Caleigh assigned for that brand QAs the drafts → schedule in Buffer. Never auto-publish.
Need a press release
Open the client Project. Draft from a past winner + boilerplate already in knowledge. Caleigh / PR approves. Outreach tasks land in Asana. Muck Rack stays the media DB.
Need an audit or monthly story
Drop a URL for AEO / GEO, or pull GA4 + Semrush in-Project. Juma returns a branded PDF and Asana tasks. Account or SEO checks the numbers before anything leaves.
The one habit

Don’t paste a brand book into a personal Claude chat. Open Comstock (or Texture, or SOLV). Run the Flow. Save a good run as a Custom Flow so the next person inherits it.

The switch works if each lane sees a job get easier — not a new login tax. Audits are the tax, once per client. After that, Brand Hub and Flows are automatic for whoever opens the Project. Re-briefing every Monday, per person, is what we buy back.

Writers / PR / social 3

You are not giving up Claude. Pick it in the client Project. Voice is already audited for that brand — Caleigh owns the lane and assigns it to whoever owns that brand’s voice. You do not each maintain a Skill. After a Fireflies call, the social “we should post about X” becomes an Asana task plus a draft in the same Project. Save as Custom Flow so the next person does not hunt your chat history.

Caleigh: owns voice/tone assignment + PR boilerplate / claim rules. Whoever she assigns for that brand: prefer/avoid + LinkedIn test in-Project. Grammarly stays as a browser pass.

Bruce — design 1

You own colors, fonts, logos in Brand Hub (~15–20 min per pilot). That audit is for the whole team: every Flow and draft after that uses your files. Creative Cloud stays your design tool. Tagged Icon/Wordmark files in Juma are what AI uses — nobody else re-uploads them.

Account leads 1

Open the named client Project. Facts live there (you audit description + offerings). No mixing Comstock into Texture. After a call: Fireflies → Asana tasks you can actually assign, Slack recap, follow-up email sitting in draft — not a transcript tab you meant to get to.

SEO / web / GEO 1

AEO Audit and GEO Snapshot become shared Flows, not Trevor’s personal Skill — we already ported those recipes. GA4 + Semrush native in Juma. Otterly exports still go to Drive until a connector exists.

Leadership 1

Demo is named client Projects, not a Skill list. Unlimited seats: invite the roster; they inherit Brand Hubs and Flows — they do not each rebuild a prompt library. Process survives vacation. DPA still required. Model-agnostic: if Claude is no longer the best writer, we switch models in Juma — we do not migrate 34 client brains.

Trevor — platform / Cursor 1

Cursor stays for repo, MCP, and site work. n8n for approve→publish. You do not become the agency’s prompt help desk — Flows and Brand Hub do.

Coverage vs. the work

Native connectors are how the flows above plug in. Juma is clearer on GA4. Creative Cloud stays Bruce’s design app (Brand Hub + Drive) — we are not running Adobe through Claude. Gaps (Otterly, Muck Rack, Buffer, Grammarly, AgencyAnalytics) export or stay in their own UI.

Connect first in Juma (pilots)

Drive + Workspace, Slack, Asana, HubSpot, GA4, Semrush, Fireflies. Zoom / Calendly / M365 as the client needs them.

Bridge — do not block the switch

Otterly + Muck Rack: export → Drive. Buffer: draft in Juma, schedule there. Grammarly: keep the extension. AgencyAnalytics: keep client dashboards. Creative Cloud: Bruce’s app; logos tagged in Brand Hub.
